What is interesting is that digitalization is the number one reason for that reduction. For those of us not yet on board with digital transformation but considering it, we need to be thoughtful as to how we embark on the digital transformation journey.
Accepting any kind of change is challenging. Transforming an office to a digital one will be met with some resistance, so proper change management is needed to ensure successful adoption. This includes clearly communicating to staff why the change is being made. Its people's attitudes and behaviours that will make the difference between a successful implementation or a flop. How do you manage this people component? Consider these tips:
- Prepare for the change:
Consider how and to what degree the change in document-related processes will impact behaviour. Acceptance of the change is easier when people understand the benefits. Senior management should communicate how the transformation will support corporate strategies. Functional managers should reinforce the message at lower levels. A communications specialist is a key member of the change management team, responsible for developing effective communication plans. - Motivate people:
People need to understand how they will personally benefit from the change. If they understand that they will be more effective and efficient, therefore more valuable, they may be more motivated to participate. Another interesting motivator is the involvement of SMEs. Having well-respected SMEs acting as champion of the change can accelerate acceptance. - Reinforcement:
Reinforcing change builds a culture of continuous improvement. The three steps to reinforce change are: a) gather and analyze feedback b) determine gaps c) implement corrective actions and cheer successes. Establish in advance how feedback will be gathered, how compliance with the new process will be measured, and how to measure the effectiveness of the change. This data will help inform the necessary corrective actions. When the new process is found to be successful, share the news!
Managing the people component of a transformation will help to ensure a successful implementation. Reinforcing the new behaviours will create a culture of continuous improvement which will cultivate further opportunities for transformation.
